VoiceBridge AI ("the Service") provides real-time speech interpretation inside Microsoft Teams meetings. This policy explains what we process, what we keep, and why.
1. What we process
Meeting audio — while the Service is active in a meeting, spoken audio is captured to produce the interpretation.
Transcript — the original speech as text and its interpretation, with timestamps and the speaker's display name.
Meeting & account context — meeting/thread identifiers, tenant and user identifiers, and speaker display names provided by Microsoft Teams, used to route the interpretation, to label who spoke, and to show you the meetings you brought the interpreter into.
Website account — if you create an account on our website: your email address, name, optional username and password (stored as a hash), and, if you sign in with Microsoft, your Microsoft account and organisation identifiers.
Operational logs & usage — connection events, error logs, join attempts and usage counts (interpretation minutes) for reliability, support and billing.
2. Third-party processing (important)
To perform interpretation, meeting audio is processed in real time by an AI interpretation service and returned as interpreted audio and text. A transcript may later be processed by an AI language service to produce a summary, action items or similar output for the people described in section 3. Your use of the Service is therefore also subject to those providers' applicable terms and privacy practices. The providers are named on request — write to info@ixorasolution.com. We do not sell your data.
3. Storage & retention
Audio is processed in real time and is not stored. Meetings are not recorded.
Transcripts are kept for 90 days after the meeting and then deleted. They are kept so that the person who brought the interpreter into the meeting can read them afterwards on their account page, and so that summaries and similar outputs can be produced from them.
Who can read a transcript: the person who brought the interpreter into that meeting, signed in to our website with the same email address, and iXora Solution staff for support and troubleshooting. Nobody else.
Operational logs are kept for up to 90 days. Join and usage records are kept for as long as your organisation uses the Service, for billing and support.
Website account details are kept for as long as the account exists.
4. How we use it
Solely to provide, secure, support, and bill the Service. We do not use meeting content to train models.
5. Security
Data in transit is encrypted (TLS). Access is restricted to authorized personnel. We do not currently hold third-party security certifications such as ISO 27001 or SOC 2. A data processing agreement can be provided on request.
6. Your choices & rights
Depending on your region (including the EU/UK GDPR), you may request access, correction, or deletion of your data. To have a meeting's transcript deleted before the 90 days are up, write to info@ixorasolution.com from the email address that brought the interpreter in, or have your Microsoft 365 administrator write to us; we delete it within five business days and confirm. Administrators control whether the Service is installed and used in their tenant.
7. Data location
The Service, including stored transcripts, currently runs in the Microsoft Azure UK South region. The AI services may process audio and text in their own regions per their terms.
8. Changes
We may update this policy; material changes will be posted here with a new "Last updated" date.
